Are we repeating the same task because of a process problem?
Software will not settle a task when the people involved disagree about how the work should happen. First decide who does what, which details they need, and what to do when a request is unusual.
Write down the current handoff, name the owner at each step, and agree on the exception rules. Once the process is clear, the smallest useful tool becomes easier to see.
Bring one task your team repeats or redoes each week.
Why are we entering the same information twice?
If staff type the same order into two tools, a small difference can become a problem. Follow one order through the business and check where the details are copied.
Follow where the information begins, where it needs to go, and who touches it in between. The answer may be a clearer workflow, a connection between existing tools, or a focused new tool.
Show us one piece of information that gets copied more than once.
